When you attend your national visa appointment at VFS Global (New Delhi, Mumbai, Bengaluru, Chennai, Hyderabad, Kochi, Kolkata, or Chandigarh), your application is not evaluated by a consular officer in the room. It is checked by a VFS intake officer against the German Mission's physical checklist matrix. If a single document is missing, stapled incorrectly, or presented in the wrong order, your file can be rejected at the counter or delayed by weeks for supplementary submission. This guide covers the exact 2026 physical dossier order, specific printout rules for Anabin and APS, and counter protocols.
The Two-Set Rule: How to physically organize your file
You must bring one original folder and two identical sets of photocopies/printouts (Set 1 and Set 2). Do not staple any pages together; use paper clips or folder dividers. Each set must be arranged in the exact order specified by the German Embassy New Delhi and German Consulates General:
1. Valid Indian Passport: Original plus 2 copies of the biodata pages (front and back) and all stamped pages. 2. VIDEX National Visa Application Form: 2 completed and signed copies with the 2D barcode sheet printed crisply on the last page. 3. Declaration on Information Accuracy (Section 54(2)8 AufenthG): 2 signed copies. 4. 3 Biometric Passport Photographs: Strict 35mm x 45mm dimensions, light grey/white background, neutral expression, taken within the last 6 months. 5. Admission Letter / Zulassungsbescheid or Employment Contract: Unconditional letter or conditional letter with Studienkolleg / preparatory course confirmation. 6. APS Certificate: Digital certificate with verifiable QR code (mandatory for academic visas from India). 7. Financial Proof (Blocked Account / Sperrkonto): Official confirmation letter showing at least €11,904 (€992/month) from Expatrio, Fintiba, or Coracle, or formal obligation (Verpflichtungserklärung). 8. Academic Transcripts & Degree Certificates: 10th mark sheet, 12th certificate, Bachelor's semester-wise mark sheets, and provisional/original degree. 9. Anabin Database Printouts: H+ institution status printout AND degree equivalence status printout. 10. Proof of Language Proficiency: Official certificate from Goethe-Institut, telc, TestDaF, or ÖSD for German, or IELTS/TOEFL for English-taught programs. 11. Curriculum Vitae (CV): Tabular format (tabellarischer Lebenslauf) without chronological gaps. 12. Motivational Letter / Statement of Purpose: Dated and signed in original. 13. Travel Health Insurance: Covering the initial 90-180 days with minimum €30,000 coverage before public health insurance (gesetzliche Krankenversicherung) activates.
Anabin Printouts: The two pages VFS officers look for
Many applicants print only the institution rating and receive a counter query. The German Embassy requires two separate printouts from the official anabin.kmk.org database: - Institution Status Printout: Search your awarding university under Institutionen. It must display the status H+ (fully recognized) or H+/- (recognized under certain conditions). - Degree Recognition Printout: Search your specific degree name under Hochschulabschlüsse. It must show Entspricht (equivalent) or Gleichwertig (equal) to a German academic qualification. Print both pages in landscape or portrait mode ensuring the URL and footer date are clearly visible at the bottom of the page.
Language Certificate Verification at the Counter
VFS verification officers verify language certificates against the central verification registries of the testing bodies. Only certificates from ALTE-certified providers (Goethe-Institut, telc, ÖSD, TestDaF) are recognized for German visa applications. Duolingo, internal language academy certificates, or unverified online test results are rejected at the counter. If you are preparing for your language requirement, test your diagnostic level using our Goethe and telc mock exam papers and follow our 77-day German study plan.
Do I need to carry original mark sheets to VFS Global?
Yes. You must carry all original mark sheets, degree certificates, passport, and blocked account documents in a separate folder. The VFS officer will inspect the originals against your photocopies and return them to you immediately, keeping only the passport and the two photocopy dossiers.
What happens if a document is missing at the VFS appointment?
If a non-critical document is missing, VFS may accept the dossier under a 'Missing Document Declaration' giving you a strict 48 to 72-hour window to submit the missing item via courier. However, if primary documents like the APS certificate, passport, or admission letter are missing, your appointment will be cancelled, and you will have to re-book.
Can I staple documents in Set 1 and Set 2?
No. Never staple documents together. Consular processing requires pages to be scanned loose into the electronic visa system (DiploVisa / VIS). Use removable paper clips or plastic document sleeves to keep Set 1 and Set 2 distinct.
